CANCELLATION POLICY

Understanding our membership cancellation terms and policies

This Cancellation Policy outlines the terms and conditions for cancelling your membership or services with ONE Gym. Please read this policy carefully before making a purchase. We appreciate your understanding that all purchases are final and non-refundable, as this allows us to maintain our commitment to providing exceptional service and facilities to all our members.

1. General Cancellation Terms

1.1 Cancellation Requests: All cancellation requests must be submitted in writing or in person at our facility. Verbal cancellations are not accepted.

1.2 Processing Time: Cancellation requests will be processed within 5-7 business days from the date of receipt. You will receive written confirmation once your cancellation is processed.

1.3 Outstanding Balances: All outstanding balances, fees, and charges must be paid in full before cancellation can be processed. Cancellation does not relieve you of any outstanding payment obligations.

2. Day Pass and Week Pass

2.1 Non-Refundable: Day Passes and Week Passes are non-refundable once purchased, regardless of usage. These passes are valid for the specific duration indicated and cannot be extended, transferred, or refunded.

2.2 Validity Period: Day Passes and Week Passes must be used within their specified validity period. Unused passes cannot be extended, frozen, or paused.

2.3 No Exceptions: We are unable to provide refunds for Day Passes or Week Passes under any circumstances, including but not limited to medical conditions, relocation, or change of plans.

3. Monthly, Quarterly, 6-Month, and Annual Memberships

3.1 Non-Refundable Policy: All membership purchases, including Monthly, Quarterly, 6-Month, and Annual memberships, are final and non-refundable. We do not provide refunds for any portion of unused membership periods, regardless of the reason for cancellation.

3.2 Membership Cancellation: While memberships are non-refundable, you may cancel your membership at any time by submitting a written cancellation request. Upon cancellation, your membership will remain active until the end of your current paid period, allowing you to utilize the facilities for the duration you have already paid for.

3.3 Early Cancellation: If you choose to cancel your membership before the end of your paid period, you will continue to have access to our facilities until the expiration date of your current membership term. No refunds will be issued for the remaining period.

3.4 Commitment Understanding: By purchasing a membership, you acknowledge and agree that the membership fee is non-refundable. We encourage you to carefully consider your commitment before purchasing, as we are unable to make exceptions to this policy.

4. Medical Situations

4.1 Medical Conditions: We understand that medical situations can arise unexpectedly. While we are unable to provide refunds for medical-related cancellations, we offer alternative solutions to accommodate your circumstances.

4.2 Membership Freeze Option: If you experience a medical condition or injury that temporarily prevents you from using our facilities, you may be eligible for a membership freeze. To qualify:

  • Submit medical documentation from a licensed healthcare provider within 30 days of the condition
  • Freeze duration: Up to 3 months per calendar year
  • Freeze fee: ₹500 per month (subject to change)
  • Membership validity extends by the freeze period

4.3 No Refunds: Please note that even with medical documentation, we are unable to provide refunds. The membership freeze option allows you to preserve your membership value while addressing your medical needs.

5. Relocation

5.1 Relocation Policy: We understand that life circumstances may require you to relocate. While we are unable to provide refunds for relocation-related cancellations, we appreciate your understanding of our non-refundable policy.

5.2 Membership Transfer Option: If you are relocating, you may consider transferring your membership to an immediate family member, subject to approval and a transfer fee of ₹1,000. The new member must meet all membership requirements and complete registration procedures.

5.3 No Refunds: Relocation does not qualify for refunds under any circumstances. Your membership will remain active until the end of your paid period, and you may continue to use our facilities during that time.

6. Personal Training and Additional Services

6.1 Session Cancellations: Personal training sessions must be cancelled at least 24 hours in advance. Cancellations made less than 24 hours before the scheduled session will be charged in full, and the session will be forfeited.

6.2 Package Purchases: Personal training packages and prepaid sessions are non-refundable once purchased. Unused sessions remain valid according to the terms specified at the time of purchase.

6.3 Other Services: Additional services such as salon services, café purchases, and recovery treatments are non-refundable once purchased or consumed. Please review service-specific terms at the time of booking or purchase.

6.4 No-Show Policy: Failure to attend scheduled sessions without prior cancellation will result in full charges and forfeiture of the session. We appreciate advance notice to allow us to accommodate other members.

7. Membership Freeze

7.1 Freeze Eligibility: Memberships may be frozen for medical reasons, extended travel (30+ days), or other approved circumstances. Freeze requests must be submitted in writing at least 7 days in advance.

7.2 Freeze Terms:

  • Freeze duration: Minimum 1 month, maximum 3 months per calendar year
  • Freeze fee: ₹500 per month (subject to change)
  • Membership validity extends by the freeze period
  • No access to facilities during freeze period

7.3 Freeze Limitations: Day Passes, Week Passes, and promotional memberships are not eligible for freeze. Only monthly and longer-term memberships qualify.

8. No Refund Policy

8.1 Final Sales: All purchases at ONE Gym, including memberships, passes, personal training packages, and additional services, are final and non-refundable. This policy applies regardless of the reason for cancellation, including but not limited to medical conditions, relocation, change of plans, or dissatisfaction.

8.2 Policy Rationale: Our no-refund policy allows us to maintain consistent pricing, plan facility capacity, and provide exceptional service to all our members. We appreciate your understanding that this policy applies uniformly to all members and cannot be modified on an individual basis.

8.3 Membership Value: While refunds are not available, your membership provides access to our premium facilities and services for the duration of your paid period. We encourage you to maximize the value of your membership by utilizing all available amenities and services.

8.4 Commitment to Service: We are committed to providing you with an exceptional fitness experience. If you have concerns about your membership or services, we encourage you to speak with our team, as we are always dedicated to ensuring your satisfaction within the framework of our policies.

9. Transfer of Membership

9.1 Transfer Policy: Memberships are generally non-transferable. However, transfers may be considered on a case-by-case basis for immediate family members, subject to approval and a transfer fee of ₹1,000.

9.2 Transfer Requirements: The new member must meet all membership requirements, complete registration procedures, and agree to current terms and conditions.

10. Termination by ONE Gym

10.1 Immediate Termination: ONE Gym reserves the right to immediately terminate any membership for violation of facility rules, terms of service, or inappropriate conduct. No refunds will be provided for terminations due to member violations.

10.2 Facility Closure: In the unlikely event of permanent facility closure, we will make every effort to provide appropriate notice and alternative arrangements. However, please note that our no-refund policy applies in all circumstances.
